Freedom of Information and Protection of Privacy

Each of Vancouver Island University's employees are legally obligated to protect the privacy and rights of students. You are not permitted to discuss any details about your students with an outside third party, including parents and spouses, without express written permission from the student.

Take great care to protect our students. Here are some guidelines and examples:

  • If you need to contact a student, you can find their phone number and email address on your class list. Do not share this information. If you need the student's address, you must contact them directly and ask permission to have it.  
  • Do not post final grades on any web page. As soon as you enter grades for a student, the students can see them in their online student record.  
  • If you feel you must post mid-term grades, here are some guidelines: do not post with names, or in any decipherable order (i.e. alphabetical), and show no more than the last four numbers in the student number.  
  • To distribute information to your whole class by email, go to the on-line class list and click "Send an Email to Everyone" located at the bottom of the Class List page.
